"AI agents" has become one of the most used — and least defined — phrases in technology. For a business leader, the useful question isn't whether agents are impressive. It's whether they can reliably take a specific, repetitive job off your team's plate without creating new risks.
What an AI agent actually is
An AI agent combines a language model with tools and instructions. It can read a request, decide on a next step, use an approved tool — search your documents, look up a customer record, draft a reply — and repeat until the task is done. The ability to act, not just answer, is what makes agents powerful, and why they need guardrails.
Where agents work well today
- Answering questions from your own knowledge — HR policies, product documentation, IT how-tos — with citations to the source.
- Reading documents such as invoices, purchase orders and forms, and extracting fields for validation.
- Triage — sorting and routing emails or tickets, and drafting first responses for a person to approve.
- Preparing work — summarising meetings, assembling reports or pre-filling records from multiple systems.
Where to be careful
- High-stakes decisions such as credit, hiring or medical judgements, where errors are costly and regulation is strict.
- Tasks without clear right answers, where you can't measure accuracy.
- Unrestricted actions — an agent that can send payments or delete records without approval is a risk, however accurate it seems in a demo.
Five guardrails we recommend
- Start with one measurable use case and a baseline: how long it takes today, and how accurate it is.
- Ground answers in approved content and show sources so people can verify.
- Limit permissions to the minimum the task needs, and require human approval for sensitive actions.
- Test against real examples before launch, and keep measuring after.
- Decide where data goes — model provider, region, retention — and document it for your privacy and security teams, with laws such as India's DPDP Act, the GDPR and the EU AI Act in mind.
